Preview and organize assets
How do I preview, tag, and organize an asset?
Open Data → Assets and select the asset. Confirm the preview, Source, Type, Scope, and creation details before using it. Then choose one Folder and add concise Tags that your team will recognize. These organization controls change the asset's catalog metadata, so verify the selection before applying it.
Inspect the asset before organizing it
Select an asset card to open its detail panel. Selection itself does not change the asset. Use the preview and metadata to answer two questions: Is this the right file, and does it belong to the intended client or location?
Check the fields that are available for the selected asset:
- Source tells you whether the item was uploaded, generated, imported, discovered, or submitted by a customer.
- Type distinguishes an image, document, report, spreadsheet, or video.
- Scope identifies the client or location context when one is attached.
- Created and From provide additional origin context.
A plausible thumbnail or familiar filename is not enough when several teams and locations share a library. Verify the source and branch-level context before reusing or sharing a file.
Use Open to view the browser-served asset, or Download when you need a local copy. Edit with AI appears only for assets that support that editing path. These actions are separate from the organization controls below.
Place the asset in a folder
Open the Folder selector and choose the single folder that best represents where teammates should retrieve the asset. Choosing another folder replaces the asset's current folder placement. Choosing No folder removes it from its folder without deleting the asset.
Folders provide a broad retrieval path such as a campaign, client, or content purpose. Use a naming convention the team already understands rather than creating near-duplicate folders.
Keep sharing and deletion separate
Copy share link is not a read-only copy of a permanent URL. It issues or rotates a public share link, so use it only when you intend to create a shareable access path.
Editable uploaded assets may also expose controls such as rename, location assignment, and delete. Generated or synced assets can have different source-owned limits. Confirm the asset's Source before expecting the same controls on every item, and treat deletion as a separate destructive decision.
Questions people ask
Does moving an asset change the file itself?
No. Folder and tag changes update the asset's organization metadata; they do not duplicate or rewrite the underlying file.
Can an asset have more than one folder?
The detail panel's Folder selector represents one current folder placement. Choosing a new folder replaces the previous selection. Tags provide the reusable many-label layer when an asset needs several ways to be found.
